9 Chatbot Mistakes That Cost Small Businesses Customers

A chatbot that frustrates people is worse than no chatbot. Fortunately the failure modes are predictable, and all nine below are fixable in an afternoon.

1. Marketing copy instead of facts

If the knowledge base is your homepage, answers will be adjectives. Load hours, prices, policies and processes.

2. No escalation route

Every conversation needs an exit to a human. Without one, an unanswered question becomes a lost customer.

3. Guessing

Availability, custom quotes and anything clinical or legal must be refused clearly. 'I'll pass this to the team' is a strong answer.

4. Stale information

Old prices and last year's holiday hours generate complaints. Diary a monthly review.

5. Pretending to be human

Be upfront that it is an assistant. Customers accept AI; they do not accept being fooled.

6. Aggressive popups

Auto-opening on every page on mobile is the fastest route to being dismissed permanently. Trigger on intent.

7. Demanding contact details first

Help before you ask. Capture details when there is a reason to.

8. Ignoring transcripts

The log tells you what to fix on your site and in your answers. Reading it weekly is the highest-value half hour available.

9. Endless loops

If the assistant fails twice on the same question, it should offer a human immediately instead of rephrasing forever.

  • Two failures, then escalate
  • Always offer a phone or callback option
  • Never end a message without a next step

Frequently asked questions

How do I know if my chatbot is performing badly?

Look for repeated rephrasing, conversations ending without a next step, and a high rate of questions it cannot answer.

How often should I review it?

Weekly for the first month, then monthly alongside price and hours updates.
